How to import contacts

Brief notes for importing contacts into ioMail

Step 1. Export your contacts from your mail program.

Most email programs and popular webmail applications will allow you to export your contact list.

The exported file format must be a .csv (comma separated values) file.

This format, as the name implies, is a text file with values separated by a commas. Depending on your mail program or export options the .csv file may have a top row of column headings.

You can open this file in Microsoft Excel or any text editor and check.

For example, opening a Hotmail export file in Excel will show a top row with field names like this:

Title First Name Middle Name Last Name Etc...

... with many more fields.

Beneath these column headings will be the actual values from your contact records.

Save this file anywhere on your computer.

Step 2. Import the records into your ioMail contact list

Then log in to ioMail, click [Contact], [Import / Export].

On the import / export page then browse to your .csv file and click [continue]. This is where the action starts!

Once the file has been uploaded you will see a list similar to below. The column on the left is the 'Original Field Name'. That is, the values in the top row of your CSV file.

The drop menus in the middle column are the available fields in the ioMail system that are available to match with the original. The system may try to guess at a match so you should check each field carefully.

The third column shows the corresponding data value from the first data row in your .csv file. This is here to as a guide so you can match the correct columns.

In the case where your .csv file does not have a heading row, you will see the first two data rows in the first and third column as below.

All you need to do is run down the centre column and make a selection from the 'Corresponding Name' options to match with your 'Original Field Name'.

For fields where there is no data or relevant match simple select 'None', the first value in the list.

The most important fields are First Name, Last Name and of course Email.

Once you have matched up all the relevant fields you can click the [OK] button at the bottom of the page and the import will start.

The most common thing that goes wrong is a 'Corresponding Name' value being selected twice. A field in the ioMail system should only have one source field in the .csv file so duplicates will create an error.

Remember:

  • The file to be imported must be in CSV format
  • Can only select each 'Corresponding Name' value once
